TOR – PRINTING COMPANY FOR THE PRODUCTION OF A TRAINING GUIDELINE FOR GIRLS’ EMPOWERMENT PROGRAMME AND A HANDBOOK ON CHILD RIGHTS AND NUTRITION

1. Background:

Jagriti Child and Youth Concern Nepal (JCYCN) is a non-profit organization dedicated to advocating for the rights of girls and children, with a focus on empowerment and child nutrition. JCYCN has implemented the Girls’ Empowerment Project in Nawalpur and a child nutrition initiative in the Parbat District. As part of its ongoing efforts to educate and empower, JCYCN is revising and preparing key documents: a training manual for its Girls’ Empowerment Programme and a Handbook on Child Rights and Nutrition. These materials are crucial for informing and guiding field programs.

To ensure the production of high-quality printed materials, JCYCN seeks the services of a professional printing company to produce these documents in alignment with organizational and programmatic standards.

 

2. The Objective of the Assignment:

The selected printing company will be responsible for the production of:

  • Training guidance for the Girls Empowerment Program
  • Handbook on Child Rights and Nutrition
  • Notebook

Both materials must meet high-quality standards, ensuring durability, readability, and visual appeal.

 

3. Scope of Work:

3.1 Design and Layout:

  • Collaborate with JCYCN to finalize the design and layout of both the training guidelines and handbook.
  • Ensure the materials are printed in Nepali with clear, professional formatting that enhances readability and engagement.

3.2 Printing Specifications:

      1. Training Guideline:

  • Pages: Approximately 100-120 pages, including the cover (80g paper)
  • Size: A4
  • Binding: Perfect bound
  • Quantities: 100, 500, 800, 1000, and 2000 copies
  • High-quality, non-absorbent, and opaque paper that prevents ink bleed-through and ensures no transparency between sides.
  • Special Requirements: Good quality paper, color cover page, cover design
  • Upon increase or decrease on number of pages, cost should be flexible.

       2. Child Rights & Nutrition Handbook:

  • Pages: Approximately 32 pages, including the cover
  • Size: A5
  • Binding: Perfect bound
  • Quantities: 5000 and 10,000 copies
  • High-quality, non-absorbent, and opaque paper that prevents ink bleed-through and ensures no transparency between sides.
  • Special Requirements: Good quality paper, color cover page, cover design
  • Upon increase or decrease on number of pages, cost should be flexible.

      3. Notebook

  • Design: JCYCN logo and images provided by JCYCN, custom cover design based on reference materials sent via email
  • Binding: Spiral Bind
  • 20-22 pages
  • Quantities: 500, 1000, 1500, and 3000 copies
  • High-quality, non-absorbent, and opaque paper that prevents ink bleed-through and ensures no transparency between sides.
  • Upon increase or decrease on number of pages, cost should be flexible.

3.3 Proofreading and Quality Check

  • Conduct a thorough quality check on the final draft provided by JCYCN before printing.
  • Ensure proper alignment, color consistency, and text clarity throughout the document.

3.4 Delivery:

  • Deliver the printed materials to JCYCN’s central office in Lalitpur or another agreed-upon location before the specified deadline.
  • Ensure the materials are packaged securely to prevent damage during transit.

4. Expected Deliverables:

4.1 First Proof:

  • Provide both printed and digital (PDF) copies of the first proof for review and approval by JCYCN.

4.2 Final Printed Copies:

  • Print and deliver the final versions of both the training guidelines and handbook, in accordance with the agreed-upon specifications and quantities.

4.3 Digital Copies:

  • Provide digital copies of both documents (PDF format) for JCYCN’s internal use and future distribution. 

5. Timeline

The assignment must be completed within 15 days of the contract signing, including the finalization of design and delivery of the printed materials.

6. Payment Schedule

  • First Payment (40% of total cost) upon submission and approval of the first proof.
  • Final Payment (60% of total cost) upon delivery of all printed copies and digital versions.

7. Minimum Qualifications and Requirements

The selected printing company must demonstrate:

  • Proven experience in printing high-quality materials, preferably for non-profit organizations or development projects.
  • Capacity to produce professional materials in both English and Nepali.
  • Ability to meet deadlines and deliver the required quantities within the stipulated time frame.
  • Experience managing large-scale printing orders while maintaining quality consistency.
  • At least 3 years of continuous service to a single client in a similar capacity.

8. Supervision and Reporting

The printing company will work in close collaboration with JCYCN to finalize all designs and ensure that the quality meets JCYCN’s standards.

9. Submission Requirements

Interested printing companies should submit the following:

  • A detailed proposal, including pricing for the requested services.
  • Samples of similar previous work.
  • Delivery timeline and available capacity to meet the requirements.
  • Legal documents: VAT Registration Certificate, Company Registration Certificate, and Latest Tax Clearance.

All documents should be submitted to JCYCN’s Central Contact Office in Lalitpur Sub-Metropolitan City-03, Nayabato, Dhobighat, or via email at jcycn2001@gmail.com by 22nd September 2024.
